Role Overview
The Facilities & Corporate Services Administrator is responsible for managing day-to-day office operations and ensuring a safe, efficient, and well-maintained workplace environment. The role focuses on facilities management, vendor coordination, infrastructure maintenance, and employee workplace support to ensure seamless office operations.
This role works closely with internal stakeholders, external vendors, and building management teams to maintain high operational standards across office facilities and corporate services.
Key Responsibilities
Office Facilities Management
Manage daily office operations to ensure a smooth and efficient workplace environment.
Oversee maintenance of office infrastructure including workstations, meeting rooms, common areas, and cafeteria spaces.
Coordinate with building management for utilities, maintenance, security, and housekeeping.
Ensure timely resolution of facility-related issues reported by employees.
Vendor Management
Coordinate with facility vendors such as housekeeping, security, cafeteria, and maintenance providers.
Monitor vendor performance and ensure adherence to service level agreements (SLAs).
Manage vendor invoices, service requests, and operational deliverables.
Assist in vendor selection, contract coordination, and service renewals.
Infrastructure & Asset Management
Support office infrastructure setup including furniture, workspace arrangements, and meeting room facilities.
Maintain records of office assets and equipment.
Coordinate with IT teams for installation and maintenance of office equipment such as printers, network infrastructure, and AV systems.
Workplace Experience & Employee Support
Act as the first point of contact for employee facility-related requests.
Ensure meeting rooms, conference areas, and collaboration spaces are operational and well-maintained.
Support office events, leadership visits, and internal meetings with logistical arrangements.
Maintain workplace hygiene, safety, and employee comfort standards.
Safety & Compliance
Ensure adherence to workplace safety standards and regulatory compliance requirements.
Support fire safety drills, emergency preparedness activities, and safety inspections.
Maintain records related to safety compliance and facility audits.
Office Expansion & Infrastructure Projects
Support office expansion, relocation, or renovation projects in coordination with leadership and vendors.
Assist with workspace planning and infrastructure readiness for new hires.
Coordinate facility readiness during office transitions or new office setups.

Ideal Background
3-5 years’ experience in corporate services, facilities management, or workplace operations
Prior experience supporting corporate offices or GCC environments
Ability to coordinate across vendors, internal teams, and building management
AI & Digital Fluency
Demonstrate curiosity, sound judgment, and the ability to critically evaluate and responsibly leverage AI-enabled tools in accordance with company policies, ethical standards, and regulatory requirements to improve the efficiency, effectiveness, and quality of work.
Within the range, individual pay is determined by work location and additional factors, including, but not limited to, job-related skills, experience, and relevant education or training. If you are selected to move forward, the recruiting team will provide details specific to the factors above.
Employee may be required to lift routine office supplies and use office equipment. Majority of the work is performed in a desk/office environment; however, there may be exposure to high noise levels, fumes, and biohazard material in the laboratory environment. Ability to sit for extended periods of time.
