Job description

The Verification of Benefits (VOB) Specialist is responsible for verifying patient insurance coverage and benefits prior to services being rendered. This role ensures accurate determination of eligibility, coverage limitations, co-pays, deductibles, and out-of-pocket expenses so that patients and healthcare providers clearly understand financial responsibilities. The VOB Specialist plays a critical role in supporting accurate billing, reducing claim denials, and ensuring compliance with insurance and regulatory requirements.

Key Responsibilities

Insurance Verification

Contact insurance companies via phone, online portals, and other approved methods to verify patient insurance coverage.

Confirm patient eligibility, covered services, benefit limitations, co-pays, deductibles, coinsurance, out-of-pocket maximums, and pre-authorization requirements.

Utilize insurance portals such as eVOB, Availity, and payer-specific portals to cross-check benefits and validate accuracy.

Identify and resolve discrepancies between portal information and insurance representative responses.

Documentation and Record Keeping

Accurately document verified insurance benefits in the electronic medical record (EMR) or billing system.

Maintain detailed records of all communications with insurance providers for audits, appeals, and future reference.

Communication

Communicate coverage discrepancies, limitations, or concerns to Managers, Billing, Utilization Review (UR), and clinical teams.

Provide patients with clear, accurate information regarding their financial responsibility based on verified benefits.

Coordination with Other Departments

Collaborate closely with billing, admissions, and clinical staff to ensure accurate insurance processing.

Assist in resolving claim denials, coverage issues, and authorization-related challenges.

Compliance and Continuous Learning

Stay current with changes in insurance policies, payer guidelines, regulations, and compliance standards.

Participate in training and continuing education to maintain industry knowledge and best practices.

Required Skills and Competencies

Strong attention to detail and accuracy.

Excellent verbal and written communication skills.

Proficiency with medical billing systems, insurance portals, and claims processing software.

Solid understanding of insurance terminology (HMO, PPO, deductibles, coinsurance, out-of-pocket maximums, etc.).

Ability to handle sensitive patient information in strict compliance with HIPAA regulations.

Qualifications

High school diploma or Associate degree in healthcare administration or a related field (required).

Minimum of three (3) years of experience in a healthcare setting, with a focus on insurance verification; experience in Behavioral Health or medical billing preferred.

Knowledge of medical terminology and coding is a plus.
