Manage the procurement of food, beverages, supplies, and equipment required for all hotel departments, ensuring optimal quality and value for money
Develop and maintain strong relationships with approved vendors and suppliers, negotiating competitive pricing and favourable payment terms
Prepare and process purchase orders, ensuring accuracy and compliance with hotel procurement policies and procedures
Monitor inventory levels across departments and coordinate with stakeholders to forecast purchasing requirements
Conduct regular quality inspections of delivered goods and services, addressing any discrepancies or non-conformance issues promptly
Maintain comprehensive procurement documentation, including contracts, quotations, and supplier performance records
Analyse spending patterns and identify cost-saving opportunities whilst maintaining service standards and guest satisfaction
Liaise with department heads to understand their purchasing needs and provide timely support and guidance
Ensure compliance with all relevant regulations, health and safety standards, and hotel procurement guidelines
Prepare regular reports on procurement activities, expenditure, and supplier performance for management review
Participate in the evaluation and selection of new suppliers, conducting due diligence and background checks as required
Manage the supplier database and maintain up-to-date information on vendor credentials and certifications
Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or related field
Minimum 5-7 years of proven experience in procurement, purchasing, or supply chain management, preferably within the hospitality or hotel industry
Demonstrated expertise in vendor management and supplier relationship development
Strong proficiency in procurement software and enterprise resource planning (ERP) systems
Excellent negotiation skills with a proven track record of achieving cost savings whilst maintaining quality standards
Comprehensive knowledge of procurement policies, procedures, and compliance requirements
Advanced proficiency in Microsoft Office Suite, particularly Excel and Word
